Faculty Annual Evaluation, Promotion, and Tenure Reminders

  1. Annual evaluations are required for all full-time and continuing part-time faculty members. This includes tenure-track, tenured, teaching-track, service-track, and research-track faculty members, as well as lecturers and senior lecturers. Adjuncts (e.g., faculty members hired on per-course basis) should receive periodic reviews appropriate to their assignment.
  2. The evaluation process requires the professional judgment by the department chairperson/school director and the members of the Faculty Evaluation Committee (FEC). They must review and rate contributions in teaching, research, and service in consideration of the faculty member’s assignment and available resources and provide a recommendation on the faculty member’s employment status.
  3. Although the department chairperson/school director conducts their own, independent evaluation, they must have the opportunity to review any FEC documentation before the completed department/school level reviews are submitted to the college/school. Internal deadlines at the unit level should be set and adhered to in order to ensure both the FEC and department chairperson/school director have sufficient time to complete their reviews.
  4. Evaluations must contain developmental, goal-oriented guidance. An annual review is not limited to events of the immediately previous one-year period; it is also to be a review of annual evaluation statements from previous years, in order to assess whether suggestions for improvement have been addressed. The resultant annual assessment should guide the faculty member in areas in which improvement may be needed, paying particular attention to cumulative progress toward, and expectations for, tenure and/or the next promotion. The assessment also provides a basis for subsequent promotions in rank and the Salary Enhancements for Continued Academic Achievement.
  5. If an evaluation from the Department Chairperson/School Director or Department FEC simply recommends continuation, the letter must advise the faculty member of their right to respond by saying, “You may, at any time, submit a response to this evaluation to [Department Chairperson/School Director] or the Dean, in accordance with Section XIII.A.6 of the WVU Procedures for Faculty Appointment, Annual Faculty Evaluation, Promotion, and Tenure.”
  6. If an evaluation from the Department Chairperson/School Director or Department FEC includes a recommendation regarding tenure, promotion, or non-continuation, the letter must advise the faculty member of their right of rebuttal by saying, “If you wish to rebut this evaluation, you may submit a rebuttal to the Dean of the Eberly College within five (5) working days of your receipt of this evaluation.”
  7. Departmental evaluations submitted to the dean’s office must include (a) the department chairperson/school director’s evaluation and recommendation and (b) the department FEC’s evaluation, recommendation, and vote.
  8. Minority statements to a department FEC review, if any, should be included in the review document and made available for committee review prior to submission.
  9. Emeritus appointments are normally considered for retiring or retired faculty members who have served the University for at least 10 years. The Department Chairperson/School Director’s and Department FEC’s recommendations should briefly describe why the faculty member’s contributions are judged as meritorious. Emeritus recommendations submitted to the dean’s office must include (a) the department chairperson/school director’s evaluation and recommendation, (b) the department FEC’s evaluation, recommendation, and vote and (c) the faculty member’s vita.
